Every business gets a bad review eventually. It hurts, especially when you've worked hard. But a negative review is also a chance: future customers read your reply, and a calm, professional answer often builds more trust than a page full of five-star ratings.

A negative Google review is not the end. Your reply matters more.
First: don't reply immediately
Read the review, then wait an hour or a day. Replying while you're angry almost always makes things worse. Check your records: what actually happened?
The 4-step reply
- Thank them for the feedback – even if it's unfair.
- Acknowledge their experience without arguing about details in public.
- Explain briefly what you're doing about it, if anything needs fixing.
- Move it offline with a direct contact so you can solve it properly.
Example: a genuine complaint
"Hi Sarah, thank you for your feedback, and I'm sorry the appointment started late. That's not the experience we want for our customers. We've changed how we schedule afternoon bookings. I'd be glad to make it up to you – please call me directly on 030 … – Frank"
Example: a review you don't recognise
"Hello, thank you for taking the time to write. We can't find a booking under this name. Could you contact us at info@… so we can look into what happened? We take all feedback seriously."
What to avoid
- Arguing, blaming or sharing private details about the customer.
- Copy-and-paste replies that sound like a robot.
- Ignoring the review – silence looks like you don't care.
- Offering money or gifts in return for deleting the review.
